The Automated Action Entry Screen in TEAMS allows users to configure automated notifications and actions based on predefined rules. This feature is designed to streamline communication by automating alerts via emails, SMS or notifications for specific events, such as overdue fees or other compliance-related actions.

Select the parameters as per your requirements and the system will allows you to specify recipients for emails, SMS, and notifications by selecting from relevant dropdowns and the relevant templates.

Ensure the Active tickbox is selected to make the Automated action active. Once all required details are entered, click Save to complete the setup.

Fields and their explanation:

FieldsExplanation
Departmentselect the relevant department such as finance or student service
Action TypeThis is a mandatory field, but it cannot be selected until a department is chosen. The available options in the dropdown will appear based on the selected department.
Campus Select the campus on which you want to apply the action. This is a mandatory field.
Action NameType a relevant name for the action. This is a mandatory field.
Action RuleThis is a mandatory field, but it cannot be selected until an Action Type is chosen. The available options in the dropdown will appear based on the selected Action Type.
No of days OverdueIf an overdue fee action is set with a “No. of Days Overdue” rule, TEAMS will notify students when the specified timeframe is reached.
No of days before due dateIf a due date action is set with a “No. of Days Before Due Date” rule, TEAMS will notify students when the specified timeframe is reached.
Send Email toSelect the recipient(s) for the email (e.g., Agent, User, Student, or Select All).
Email TemplateSelect the relevant email template for your action from the dropdown.
Send SMS ToSelect the recipient(s) for the SMS (e.g., Agent, User, Student, or Select All).
SMS TemplateSelect the relevant SMS template for your action from the dropdown.
Send Notification toSelect the recipient(s) for the notification (e.g., Agent, User, Student, or Select All).
Notification TemplateSelect the relevant notification template for your action from the dropdown.
