Overview

There’s a feature in TEAMS called Custom Reports, giving users the ability to build, customise, and generate reports based on their own requirements.
Simply select the module type, date range and drag-drop the columns you want in your report and it will be generated as it is.

Step-by-Step Guide to Use Custom Reports

Step 1: Access Custom Reports

  • Go to the Admin menu in TEAMS.
  • Select Custom Reports to open the listing screen of all your saved reports.

Step 2: Create a New Report

  • Click on Create Report.
  • On the next screen, fill in the following:
    • Report Name – Provide a name for your report.
    • Object Type – Choose whether the report is based on Student, Enrolment, or any other data.
    • Date Filter Option – Select from:
      • None – No date filtering.
      • Date Range – Specify a start and end date.
      • As At Date – Include all data up to a specific date.

Step 3: Save Initial Settings

  • Click the Save button to proceed to the next step.

Step 4: Select Report Columns

  • A list of available fields will be displayed based on the object type selected.
  • Expand the field headers and select the desired columns.
  • Click Move to add them to your report.
  • Note: Mandatory fields (e.g., Student Number or Enrolment Number) will be automatically included if you select any field from their respective headers.
  • You can reorder or remove columns as needed.

Step 5: Define Filters

  • Click Next to proceed to the filter configuration.
  • Use the Apply Date Filter On dropdown to select a date field for filtering the report results.
  • Additional filters (such as Nationality) can be applied if the selected fields support filtering.
  • Move the desired filters from the available fields to the active filter list.

Step 6: Set Report Parameters and Generate

  • Click Next to go to the final step.
  • Enter the necessary report parameters, such as:
    • Date Range
    • Specific field values (e.g., Nationality = Australian)
  • Click Generate.
  • The report will be generated instantly using all the fields and filters you’ve configured.
