Overview
The NAT00120 (Student Training Activity) file is where all AVETMISS setup becomes actual reported training activity. It records:
- What training occurred
- Who undertook the training
- Where it was delivered
- What outcome was achieved
Because NAT00120 pulls data from multiple areas of TEAMS, a single setup issue can generate multiple validation errors across many students and subjects.
How NAT00120 Links to Other NAT Files
NAT00120 does not exist on its own. It inherits data from:
- NAT00010 – Training Organisation
- NAT00020 – Training Delivery Location
- NAT00030 – Program
- NAT00060 – Subject
- NAT00080 – Client (Student)
NAT00120 does not fix errors in these files — it reveals them.
Errors must always be corrected at the source (programs, subjects, enrolments, delivery, or AVETMISS settings).
Common NAT00120 Validation Errors – Part 1
Error 3211 – Activity Start Date After Collection Period
The Activity Start Date is later than the AVETMISS collection period end date.
Resolution
- Confirm the AVETMISS reporting year you are validating
- Go to Enrolment Dashboard under the Results tab and Training Plan & Results
- Update the Activity Start Date so it is on or before the collection period end date
- Save your changes
Error 3216 – Activity End Date Before Start Date
The Activity End Date (result date) is earlier than the Activity Start Date.
Resolution
- Update either the Start Date or Result Date so the end date is not earlier than the start date
- Save your changes
Error 3252 – Outcome ID 70 Used Incorrectly
Outcome ID 70 (Continuing Activity) is used even though the Activity End Date falls within the reporting year.
Resolution
- If the activity ended during the reporting year, update the Outcome Identifier to reflect the actual result
- Outcome ID 70 can be used only when the activity continues into the next year
Error 3260 – Invalid Delivery Mode for Completed Outcome
Outcome Identifier 20 (Competency Achieved) is used with Delivery Mode NNN, which indicates no delivery.
Resolution
- Open Subject AVETMISS Settings
- Update delivery mode (Internal / External / Workplace)
- For bulk updates, enter percentages and allow TEAMS to calculate the predominant mode
Note: If Delivery Mode remains NNN, the Outcome Identifier must be:
- 60 – Credit transfer
- 51 – RPL granted
- 52 – RPL not granted
Error 3830 – Final Outcome Not Recorded
The subject result has not been entered.
Resolution
- Enter the final outcome via Training Plan & Results
- Save the record
Common NAT00120 Validation Errors – Part 2
Error 4752 – Invalid Start Date and Outcome Combination
The Activity Start Date is later than the validation date, but the Outcome Identifier does not indicate “Not yet started”.
Resolution
- If the activity has not started, set Outcome Identifier = 85
- If the activity has started, correct the Activity Start Date
- Save and revalidate
Errors 4622 & 4624 – Training Contract Identifier Issues
- Training Contract Identifier does not match Client Identifier, or
- Training Contract Identifier is blank
Resolution
- Ensure the Training Contract Identifier matches the Client Identifier
- If needed, update the Client Identifier via Student Dashboard
Errors 4693, 4754 & 4755 – Duplicate or Overlapping Records
- Duplicate activity records, or
- Overlapping activity periods for the same student and subject
Resolution
- Review subject dates in Training Plan & Results
- Remove overlaps or duplicates
- Alternatively, exclude the subject from AVETMISS if required
Error 3716 – Predominant Delivery Mode Not Set
Predominant Delivery Mode is missing or incorrect.
Resolution
- Update delivery mode individually or in bulk via Subject AVETMISS Settings
- Enter percentages to allow TEAMS to calculate the predominant mode
Error 3742 – Funding Source National Invalid
Funding Source National value does not align with postcode or overseas status.
Resolution
- 20 → Domestic postcode
- 31 → Onshore overseas (OSPC postcode, overseas flag ticked)
- 32 → Offshore overseas (OSPC postcode, overseas flag ticked)
Re-exporting and Confirming Resolution
After making corrections:
- Re-export your AVETMISS files
- Re-run validation in AVS
- Confirm NAT00120 errors no longer appear
NAT00120 is where AVETMISS issues appear most frequently because it consolidates data from multiple files. Fixing errors at the source ensures accurate reporting and prevents repeated validation failures.
