Program Entry Screen

The Program Entry Screen has two distinct tabs: Details and Settings.

The Details tab is the primary section for creating a new program. It contains all the mandatory fields required for program setup. Here, the administrators can input essential information and specifications to define the program’s structure and offerings.

The Settings tab is dedicated to program customisation and updates. It provides a platform for you to modify and fine-tune various settings related to the program, ensuring it aligns with specific requirements and preferences.

You can see a burger menu icon in the top-right corner of the screen while editing a program. When you click on the burger menu, you can see different options.
Click on the burger menu icon to get further details.

Details Tab Fields:

FieldsExplanation
Program Code*A mandatory unique identifier for the program. This should match your internal coding system.
Program Name*A mandatory title of the program.
Descriptive CodeYou can add the program code in this field, but make sure the code that you are adding should be the same as the code on the training.gov.au site.
Descriptive NameYou can add the program name in this field, but make sure the name that you are adding should be the same as the name on the training.gov.au site.
Agent Commission TypeA drop-down allowing you to select the commission type (e.g., VET or ELICOS). Supports agent payments and commission tracking.
Cricos Program CodeYou can find the correct CRICOS program Code on cricos.education.gov.au
Cricos Program NameYou can find the correct CRICOS program Name on cricos.education.gov.au
Delivered via Unit of StudiesA tick-box indicating whether the programme is delivered via linked units of study. It helps yo set up structure accordingly.
ActiveA mandatory tick-box — when checked, the programme is considered active and can be used for new enrolments.
No Longer Accepting ApplicationsIf you check this tick-box, you will not be able to see the program while creating any new applications.

Explanations of the fields on the Settings Tab:

Fields Explanation
VETCheck this tick-box if the program is VET.
Note: Australian vocational education and training (VET) is also known as Technical and Vocational Education Training (TVET) and skills training.
User ChoiceCheck this tick-box if the program is a User Choice program. 
Is this a Short Course?Check this box if it is a short program.
Note: Short course has a duration less than 1 week.
Do Not Include in AVETMISS SubmissionTick this option if you want to exclude the program from AVETMISS reporting.
Total Study WeeksYou have to enter study weeks of the program.
Note: Without the numbers system cannot calculate the total start to end date of the application / enrolment and you will not be able to complete the application process.
Total Holiday WeeksEnter the number of holiday weeks included in the program schedule.
Hours Per WeekTotal hours per week of the program. It is recommended to always add 20 hours per week.
Total Core Credit Points RequiredEnter the minimum number of core credit points needed for students to complete the programme.
Total Elective Credit Points RequiredEnter the minimum number of elective credit points required for completion.
FEE-HELP AvailabilityYou can select FEE-HELP availability from three radio buttons as per the program.
VET Student Loans (VSL),
Higher ed FEE HELP and
Neither
Expiry DateFrom the calendar, you can select the expiry date when the program becomes inactive or expired.
Program NotesYou can write notes for the program by selecting this icon.
Study Sequence for this ProgramThere are two radio buttons: Fixed, and Rolling to select the study sequence for the program.
Fixed – Fixed intakes have specific, predetermined periods during the year when new students can enroll in their programs.
Rolling – Rolling intakes have more flexible admission processes. Instead of having specific intake periods, you can accept applications and admit students continuously throughout the year.
Course Progress Study Period lengthWhen you select the Fixed Structure, the system will present you with the Course Progress Study Period Length field. This field will let you add the length of the study period in weeks when you want to monitor the student’s progress, which will appear on the Enrolment Dashboard > Result Tile > Dials.
Attendance Study Period lengthWhen you select the Fixed Structure, the system will present you with the Attendance Study Period length field. This field will let you add the length of the attendance study period in weeks when you want to monitor the student’s progress attendance which will show you on the Enrolment Dashboard > Attendance Tile.
What do you report students in PRISMS on?This is a user code and based on the User Code created in TEAMS, you can select the required option (recommended – Course Progress) from the dropdown
Last reset onIf you have selected the Rolling Structure, the system will show you the Last Reset field as a dropdown. This dropdown will show you years and you can select the year you required when you want the system to reset the year for you. Once you update the last reset, you need to select the Course Progress Study Period Length, Attendance Study Period length and What do you report students in PRISMS on? (it is recommended to select Attendance).
Do not use Academic Templates for this programIf you check this tick-box, you will not be able to use Academic template while creating any new applications.
