Student Portal & Mobile App Implementation

The Student Portal in TEAMS allows students to access their personal dashboard, view enrolment details, track academic progress, check attendance, and stay connected with the organisation through a dedicated online portal.

This guide explains how to implement the Student Portal, including how to access it, configure login access, and provide credentials to students.

Accessing the Student Portal

Each organisation has a dedicated Student Portal URL. To access your Student Portal:

  • Use your existing TEAMS site URL
  • Add “students-” before your client code
  • Open the updated URL in your browser

Please ensure you replace the example client code with your organisation’s actual code. This URL can be shared with students directly or added to your organisation’s website as a login link.

Accessing the Student Mobile App

Students can also access TEAMS through the Student Mobile App. To log in via the mobile app:

  1. Download the Student App from:
  • Google Play Store (for Android devices)
  • Apple App Store (for iOS devices)
IMPORTANT: At present, the Student Mobile App is not available via the Google Play Store or Apple App Store as part of this update.

Instead, the app can be downloaded directly using the link provided below:
Student App - [https://rtoteams.short.gy/StudentApp]

Important - To download the app, copy the above link, paste it into a new browser tab, and open it. The download will begin automatically.

Please note that the app is currently available for Android devices only and is not yet accessible on IOS devices.
  1. Open the application
  2. Enter your organisation’s Client Code
  3. Enter the student’s Username and Password

The Client Code is the same code used in your TEAMS web address.

Student Login Credentials

Each student must have valid login credentials configured in TEAMS.

  • Username can be set as the student’s email address or student number
  • Password must be available in the Edit Student details screen

These credentials are used for both the Student Portal and the Mobile App.

It is important to ensure that login details are properly configured; otherwise, the student will not be able to access the system.

Login Verification (OTP Security)

TEAMS includes an additional layer of security through email-based verification.

  • Student enters their username and password
  • A One-Time Password (OTP) is sent to their registered email
  • Access is granted only after successful verification

A valid email address is required for this process to ensure secure and authenticated access.

Sharing Login Details with Students

To provide access to students:

  • Ensure login credentials are set in the student profile
  • Share login details via email or onboarding communication

The communication should include:

  • Student Portal URL
  • Client Code (for mobile app)
  • Username
  • Password

This ensures students can easily access both the portal and mobile app from the start of their enrolment.

Managing Student Access

Access to the Student Portal and Mobile App is controlled automatically based on enrolment status.

  • Only students with active enrolments can log in
  • Students without any active enrolment are restricted from access

This ensures that access is always aligned with the student lifecycle.

Security and Access Control

To maintain security:

  • Passwords can be reset whenever required
  • Access is automatically restricted based on enrolment status
  • Only authorised students can access the system

This is particularly important for maintaining compliance and protecting student data.

The implementation of the Student Portal and Mobile App is simple and efficient. By using the correct portal URL, configuring login credentials, and enabling secure OTP verification, organisations can quickly provide students with access to their information.

Once implemented, students can conveniently manage their academic journey, monitor progress, and stay engaged with your organisation through both desktop and mobile access.
