Before attempting to create or modify a user code, it is essential to identify the field’s name and where the dropdown is located. This step is crucial as it allows you to determine if the field is available on the current screen for customizing the dropdown options. Once you have obtained the field’s name, you can proceed to the User Code screen to carry out the necessary actions.
The User Code Entry Screen has two tabs: Details and Address
In the details tab:
Fields | Explanation |

Code Type | Select the type from the dropdown list |
Code | This is usually an abbreviation of the User Code Name field |
User Code Name | this is the entry that will display in the dropdown |
Group and User Name | Select the option All in these fields. |
Contact details | this is the entry that will be displayed in the dropdown |
Address | you can add address of the code |
Notes | note box allows you to add any notes related to user code. |
Note - The code that you enter does not show anywhere else in the system, it only shows on this screen and the initial User Code List screen.
In the Address tab:
you can input the user’s address information. If the mailing address is the same as the local address, just check the Copy Address checkbox, and the mailing address fields will be automatically filled in for you.
Once you have entered data in all the fields, select the Save button at the top of the screen. After saving the new entry, you can navigate back to your original screen and refresh it. Your new user code will be listed in the dropdown.
