WhatsApp Business Integration
We’ve integrated WhatsApp Business into TEAMS, making it easier to communicate with students directly from your business WhatsApp number — without leaving TEAMS.
On the Student Dashboard, a WhatsApp icon appears next to the student’s number — simply click it to start a chat using a pre-approved template. Once the student replies, you can continue the conversation for free within the 24-hour window..
You can also share documents and attachments of up to 20 MB within the chat, making communication faster and more comprehensive.
This update removes the need to switch between platforms, speeds up communication, and ensures all student interactions are tracked within TEAMS.
IMPORTANT: Each template message costs $0.745 to send.
You’ll need an active WhatsApp Business Account and a Meta Developer Account to set this up.

Automated Alert Actions
We’ve enhanced the Automated Alerts screen in TEAMS by introducing new dropdown options that let you configure action types based on different departments. This makes it easier to create targeted alerts so that the right teams receive the right notifications at the right time.
When you select the Finance department, you’ll now see action types such as Ezidebit Schedule Confirmation, New Receipt, and Ezidebit Schedule Failed.
For the Student Services department, you’ll now see COE Expiry Date, COE Expired, Missing USI, and Enrolment Started.
This update gives you more precise and powerful control over alerts, ensuring Finance and Student Services staff receive timely and relevant notifications without manual follow-up.

Custom Report in Report Scheduler
We’ve added the ability to schedule custom reports directly from the Report Scheduler screen in TEAMS.
Previously, scheduling was only available for standard reports. Now, you’ll see a Custom Report option in the report name dropdown, allowing you to schedule your custom reports the same way as standard ones. You can set them to run once, daily, weekly, or at a schedule that best suits your needs.
This update provides greater flexibility, helping you automate customised reporting and reduce the need to run them manually each time.

Communication Dashboard
We’ve introduced a new Communication Dashboard in TEAMS, giving you a dedicated space to track the status of all emails sent from the system.
Previously, email statuses such as Sent, In Queue, or Error were displayed in the Report Dashboard alongside reports and letters, which often made it harder to focus on communications. With this update, the Report Dashboard will now only display report statuses, while the new Communication Dashboard is dedicated entirely to emails.
This update provides greater clarity and control over your email communications, ensuring you can quickly confirm delivery and follow up on any issues without confusion.

Bulk Update for Enrolments
We’ve introduced a new feature in TEAMS that makes it easier to manage enrolments across multiple records in one go.
You can now update multiple enrolments directly from the Continuing, Starter, and Finisher listing screens. Instead of opening each enrolment individually, simply select the records, click the burger menu, and choose Enrolment Settings. A pop-up will allow you to update details such as Enrolment Outcome, Enrolment Type, Orientation requirements, and Induction/Orientation Date.
This update saves time and streamlines enrolment management across multiple records in one action.

Extended Application Template Availability
We’ve enhanced the visibility of Application Templates in TEAMS so they remain accessible for longer, even after the expiry date has passed.
Previously, once the expiry date (which matches the start date of the selected intake) was reached, the template would disappear from the dropdown. With this update, templates will now remain visible for an additional 3 weeks beyond the expiry date, giving you more time to access and use them.
This improvement makes it easier to create missed applications without delays, ensuring smoother processing.
IMPORTANT: The expiry date itself is not shown on the front end, but you can view it if the intake date is included in the template name.

TEAMS Chat Enhancement
We’ve enhanced TeamsChat by adding Agents as a new mention type, along with better tracking for Students and Enrolments.
To mention an Agent, open TeamsChat, type a forward slash / and select Agent. Enter the agent code with #, select the correct agent, and send your message.
Mentions can now be viewed directly from the Student, Enrolment, or Agent dashboards by clicking the chat icon, where a pop-up will display all related messages.
A new search function and multi-select dropdown filter are also available, making it quicker to find messages and focus on those linked to specific users.
This enhancement improves collaboration, makes tracking mentions easier, and ensures key information is always just a click away.

Enhancement on Student and Enrolment Dashboard
We’ve enhanced the Student and Enrolment Dashboards in TEAMS to give you clearer insights into enrolment durations.
Previously, the dashboards only showed a breakdown of enrolment duration. Now, they also display the Total Duration, which combines Study Weeks, Academic Holiday Weeks, and Student Holiday Weeks into one clear figure. You can view this new field in the Status column under the Details tile on the Student Dashboard, and on the Profile tab in the Enrolment Dashboard.
This update improves visibility and makes it easier to track enrolment timelines at a glance.

Email Update: Easy Image Insertion

We’ve introduced a new feature in TEAMS that makes your email communication more engaging and professional. You can now upload and insert images directly into the body of your email, instead of only attaching them as separate files.
When composing an email, simply use the upload option or drag and drop an image into the message box. The image will appear within your email content, making it easier to share visuals such as student documents, promotional material, or branded graphics.
This update gives you more flexibility in how you design your emails, allowing important information to stand out and ensuring your messages look polished and effective.
Custom Report Name Enhancement in TEAMS

We’ve improved the Custom Reports feature in TEAMS by changing the way generated reports are named, making it easier to identify and organise them.
Previously, when you generated a custom report, it was saved using a default system format, often making it difficult to quickly recognise the report’s purpose. With this enhancement, reports will now be saved using the Custom Report Name you select.
For example, if you generate an Agent Performance Report, the saved file will now be named:
Agent Performance Report_User name_Current date
This means you’ll no longer see the old generic “CustomReports” naming format. Instead, every file name will clearly reflect the report’s actual title, along with the user who generated it and the date.
New Fields in Custom Reports

We’ve added two new fields (School Name and AASN) in the Custom Report enrolment module to give you more flexibility when generating reports.
These fields are linked with the Enrolment AVETMISS screen, meaning any data entered here will flow through and can be included in your custom reporting.
This enhancement ensures greater accuracy and detail in reporting, particularly for enrolment records that require AVETMISS data.
